What Zoom does and does not do

Zoom only generates an automatic transcript when the recording goes to its cloud, and that is for paid plans; on the free plan the recording is saved on your computer and Zoom does not transcribe it. Meeting “assistants” (Otter, Fireflies, Tactiq) solve that by sending a bot and your audio to their cloud, with free minutes that run out fast. If the meeting is over and you have the file, you need none of that.

Where your recording is

On Windows, the local recording sits in Documents › Zoom, inside a folder named after the date, time and name of the meeting. You will see the video (zoom_0.mp4), the audio-only file (audio_only.m4a) and, if there was chat, a .txt. For transcribing, the .m4a is best: it is small and has everything that was said. If you recorded to the cloud, go to zoom.us, Recordings, and download the audio or the video.

    Install AppGrabbit for Windows — Download the free installer (everything included). Windows will say it protected your PC because the installer is not code-signed: click More info, then Run anyway.

    Find the Zoom recording — On Windows, Zoom saves local recordings in Documents › Zoom, in a folder named after the meeting's date and time: the video (.mp4) and the audio-only file (.m4a) are there. If you recorded to Zoom's cloud, download the .mp4 or .m4a from zoom.us › Recordings.

Frequently asked questions

Doesn't Zoom transcribe by itself?

Only if you record to its cloud on a paid plan: then it leaves you a .vtt. On the free plan the recording is local and Zoom does not transcribe it. This guide is for exactly that case.

Do I need to be the host?

To record in Zoom, yes, unless the host allows you. To transcribe, no: if someone sends you the .mp4 or the .m4a, drop it in and you are done.

Does it separate speakers?

No. The transcript comes out as running text, without names. For a meeting where two or three people take turns it works fine; if you need per-person labels, it does not add them today.

What if the meeting mixed English and Spanish?

Pin the main language before transcribing. If they switch mid-way, the engine follows the one you pinned.

How much does it cost?

1 credit per transcript. Free comes with 5 credits a month and, at 0, you can claim 1 more every 48 hours. The 7-day pass (USD 3.99, no renewal) removes credits for a week; Pro removes them for good at USD 8.99 a month. No minute cap and no file-length cap.

Is nothing really uploaded?

Nothing. The audio is transcribed by Whisper (whisper.cpp) running on your computer, on your NVIDIA card if you have one or on the CPU if not. You can unplug the internet and it keeps working. Only the first time does it download the engine and the model.
